Subject: The Group Mediclaim Insurance Scheme for Club Member Agents for Membership Year 2024-25 is due for renewal from 01.09.2025 (Policy Year 2025-26).

Sir, Madam,

As decided by the competent authority, from the Policy Year 2024-25 it is mandatory to register PAN of the Club member Agent’s spouse in the Sales module of efeap for coverage under the Group Mediclaim Insurance Scheme.

It is observed that many club member Agents who had opted for Floater policy have not registered PAN of Spouse in the Sales module. Consequently, such spouses were not covered for GMIS Policy Year 2024-25. Therefore, it is decided that one more option for registration of PAN of Agent’s Spouse will be made available in efeap for Club Membership Year 2024-25 (GMIS Policy Year 2025-26).

As per the automated procedure for renewal of policy, the Branch/Division/Zone has to take the following necessary actions in the efeap module, to arrive at the exact count of club member agents of M.Y. 2024-25 and their spouses, in different age groups, to be covered for the PY 2025-26.

FOLLOWING JOBS ARE TO BE DONE AT BRANCH OFFICE:

Step 1: Register PAN of Agent’s Spouse in the module for which option will be made available from 16.05.2025 to 30.06.2025 for all cases (even where PAN was entered earlier) pertaining to Club MY 2024-25 (Fresh entry of Spouse PAN to be done in all cases).

Note: Branch Office should maintain utmost accuracy while registration of the PAN of Spouse. Wrong keying of PAN will be viewed seriously. The Branch Office should preserve the copy of PAN of the Agent’s spouse attested by the Agent for Audit and Inspection purpose, as 100% cases will be checked. Submission of incorrect PAN of spouse by Agent shall debar the concerned Agent from the Group Mediclaim Scheme in future.

Step 2: To confirm finalization of club membership for the M.Y. 2024-25 at Zone/Division/Branch level in all cases. Special care should be taken while finalizing club membership with Regular/Non-regular status. The system will show the list of Club Members for whom club status is already finalized by the Branch Office for M.Y. 2024-25.

Step 3: To carry out necessary Addition (New entrant)/Modification (existing data) /Deletion (for any exit cases) if required, and exercise the coverage option of With/Without Spouse for all cases in the module on or before 03.07.2025.

Note: The module will not allow for any modifications in Club Master and Mediclaim Master after 04.07.2025 at Branch Office.

Step 4:  After updation of the details, the Branch should generate and confirm the number of Club Member Agents (Regular/Non-regular) along with their option (With/Without Spouse) who will be included for the GMIS for the Policy Year 2025-26.

Step 5: The club-wise and age band-wise data will be auto-generated through the module as per the attached format with the following details.

TABLE-1 :- TOTAL NO. OF ELIGIBLE CLUB MEMBER AGENTS (INCLUDING REGULAR + NON REGULAR LIFE MEMBERS) TO BE COVERED FOR M.Y. 2024-25.

TABLE-2A :- TOTAL NO. OF ELIGIBLE CLUB MEMBER AGENTS (INCLUDING REGULAR + NON REGULAR LIFE MEMBERS) OPTED TO BE COVERED "WITH SPOUSE AND PAN OF SPOUSE IS REGISTERED" FOR M.Y.2024-25.

TABLE-2B :- TOTAL NO. OF ELIGIBLE CLUB MEMBER AGENTS (INCLUDING REGULAR + NON REGULAR LIFE MEMBERS) OPTED TO BE COVERED "WITH SPOUSE BUT PAN OF SPOUSE IS NOT REGISTERED" FOR M.Y.2024-25. For such cases, SPOUSE will not be covered for the Policy Year 2025-26.

TABLE-3 :- TOTAL NO. OF ELIGIBLE CLUB MEMBER AGENTS (INCLUDING REGULAR + NON REGULAR LIFE MEMBERS) OPTED TO BE COVERED "WITHOUT SPOUSE" FOR M.Y.2024-25.

NOTE :- Total of TABLE 2A+ 2B+ 3 = TABLE 1

Table-4 will give the details of number of Non-Regular CM & ZM club member agents covered with/without their spouses. 100% premium will be borne by the Agent.

CSV file as per Specified format will be auto generated from the module, for the club-wise and age band-wise data at branch level.

JOBS TO BE DONE AT DIVISIONAL OFFICE:

Division Office to ensure that all Branch Offices have accurately completed the jobs relating to Table 1, 2A, 2B, 3 and 4.

Step 1: The CSV file of finalized data by each Branch will be available at the Division in the e-feap module for compilation of the same. On confirming finalization of data from all the Branches, Division has to generate the consolidated CSV file for all branches under its jurisdiction and convert the same into Excel format. The Divisional Office has to forward the compiled data in excel format to Zonal office latest by 08 .07.2025.

Note: The Division has to check and confirm the Club Membership data finalized by all the Branches under their jurisdiction.  Any modification required in the Mediclaim Master can be done by the Division only under the password of Manager (Sales). Any such modifications in the system will be allowed only on 04.07.2025.

JOBSTO BE DONE AT ZONAL OFFICE:

Step 1: The Zonal office has to consolidate the data received from all Divisions under its jurisdiction in Excel format. After confirming the accuracy of the compiled data of all Divisions under their jurisdiction, the Zonal office has to escalate the complete data to Central Office.

Step 2: The finalized copy of the club-wise and age–wise data duly signed by the RM (Marketing) should reach Marketing Department, Central Office latest by 10 .07.2025.

Please note that the data generated as above shall be the Final data for the Policy year 2025-26 and system will not allow any further modification during the Policy Year.

In the year 2024-25 it was reported that many Branch Offices had not entered the spouse PAN details, for which another window had to be allowed. Please note that NO SUCH subsequent window will be allowed for the year 2025-26.

Therefore, we request you to kindly ensure that all instructions as advised above are followed and accurate data reaches Marketing Department, Central Office as per the time lines mentioned above.
